So what happens if your flight is delayed and you have a taxi booked? The sections below answer it piece by piece: the short answer, how tracking works, how long your driver waits, and what to do about diversions, cancellations and extra charges.
A metered taxi from the rank has no idea your flight is late. An app-based ride re-prices the moment you tap book again, often with surge pricing at the worst possible hour. A pre-booked airport transfer is tied to your flight number, not to a clock time. When the flight moves, the pickup moves with it. That is the entire point of booking ahead.
How flight tracking works
When you book with us, we ask for your flight number alongside your pickup point, destination, date and time. That flight number is the key to everything that follows.
On the day of travel we monitor your flight's actual progress, not just its scheduled time. If your 14:35 landing becomes a 16:10 landing, we know about it before you do, and your driver's pickup time shifts to match. You do not need to call us from the plane, send updates while taxiing, or explain anything at the carousel. The system is built on the assumption that flights move, because they do.
This is also why we ask for the flight number rather than just a pickup time. A time on its own tells us when you hoped to land. A flight number tells us when you actually land. If you are connecting, give us the flight number of the leg that lands at our pickup airport, since that is the arrival we track. This is how flight tracking works on every airport transfer we run.
How long your driver waits
Here is our airport taxi waiting time policy in plain terms. Your driver plans around your actual landing time, not the timetable. Once the scheduled pickup time arrives, you get 30 minutes of free waiting. If you need longer, waiting is charged at £10 per 30 minutes after that, exactly as our published terms state.
That window exists because landing is only the start of the wait. Passport control at Heathrow Terminal 5 on a busy evening, baggage reclaim at Gatwick South after three wide-bodies land together, the long walk from the gate at Manchester Terminal 2: all of this is normal, and all of it is covered. Your driver waits in the arrivals hall with a name board while you make your way through. No meter is running.
If you know you will be much slower than usual, for example you are travelling with someone who needs assistance, mention it when you book or message us on the day. A quick WhatsApp to +44 7757 175663 lets us plan rather than guess.
What if the delay pushes past midnight?
It changes nothing about our side of the arrangement. We operate 24/7, every day of the year, so a midnight arrival or a 4am landing gets the same treatment as a midday one: a tracked flight, an adjusted pickup, and a driver in the arrivals hall with a name board.
The one-hour delay accommodation in our terms applies the same way at night as during the day. If your delay runs beyond an hour, contact us on +44 203 9250757 or WhatsApp +44 7757 175663 and we will advise you on the options. Late-night diversions and early-morning arrivals are covered by the same round-the-clock operation.
What if your flight is diverted or cancelled?
If your flight is diverted to a different airport, contact our office immediately on +44 203 9250757 or WhatsApp +44 7757 175663. Diversions are rare, and they usually happen for weather or a medical emergency on board. Our terms ask passengers to inform the office of any cancellation, delay or reschedule, and a diversion changes your pickup location, so the fare may be re-quoted for the new route. We cannot build a useful pickup plan for a diversion without hearing from you, because the arrival airport, terminal and timing all change at once. The earlier you tell us, the smoother the re-plan.
If your flight is cancelled before you travel, tell us as soon as you know and our standard cancellation terms apply. You get a full refund when you cancel more than 12 hours before pickup, 50% for 6 to 12 hours, and 30% for 3 to 6 hours. Under 3 hours there is no refund, and a £5 bank processing fee applies to refunds that are issued. Do not simply not show up: no refund is given if the driver has already been dispatched or you cannot be reached, and a two-minute call is the difference between a clean rebooking and a wasted dispatch.
If your flight is cancelled after you have landed in the UK and you need to get home or to a hotel instead, call us and we will convert the booking. The pickup becomes a standard transfer from wherever you are.
Delayed at passport control or baggage reclaim?
This is the most common kind of delay, and it is fully covered. Passport control queues at Heathrow, a slow carousel at Gatwick, the long walk from a remote stand at Stansted: none of this surprises us, and all of it falls inside your 30 minutes of free waiting after the scheduled pickup time.
The free waiting window starts at the scheduled pickup time, which we set from your actual landing time, not from when you walk into the arrivals hall. So the queue at border control and the wait at the carousel are already built into the plan. If you are travelling at a peak time and expect an unusually slow passage, tell us when you book or message us on the day and we will allow for it.
Do you pay extra for waiting?
No, this is the fixed-price promise in action. The fare we confirm when you book is the fare you pay, even if your flight lands an hour late or the M25 is at a standstill on the way home. Traffic delays never add to your fare, and waiting caused by the airline's delay does not either. Our terms accommodate flight delays of up to one hour. If a delay runs beyond that, contact us and the booking may be cancelled and refunded rather than charged extra.
The only thing that has ever changed a fixed fare is a change to the journey itself: a different pickup point, a different destination, or a much larger vehicle than booked. A late flight changes none of those.
How to reach us if plans change
Keep it simple: call +44 203 9250757, WhatsApp +44 7757 175663, or email info@theroyalbritainairporttransfer.com. WhatsApp is usually fastest on the day of travel. Keep your phone on throughout: our terms note you may still be charged if you are unreachable at pickup time.
Contact us the moment you know something has changed. A new flight number, a diversion, a cancellation, a much later arrival than expected: the earlier we hear it, the better we can re-plan. If you forgot to give your flight number at booking, send it as soon as you can, because without it we work from your stated pickup time and a delay becomes your problem to report instead of ours to track.
The same applies on the way to the airport. If traffic, a road closure or severe weather is making you late for a departure pickup, tell us immediately. We will reroute where possible or advise you honestly about your options rather than just driving into a jam.

Frequently asked questions
Will my taxi wait if my flight is delayed?
Yes, Give us your flight number at booking and we track the flight. Delays of up to one hour are accommodated with the pickup moved at no extra charge. You also get 30 minutes of free waiting after the scheduled pickup time.
Do I pay extra if my flight is delayed?
No, The fixed fare agreed at booking does not change because of an airline delay, and waiting caused by the delay is not charged extra within the one-hour accommodation window.
What happens if my flight is diverted to a different airport?
Contact us immediately on +44 203 9250757 or WhatsApp +44 7757 175663. We will re-plan the pickup around the new arrival airport. Because the pickup location changes, the fare may be re-quoted for the new route.
Do I need to call you when I land?
No, If you gave us your flight number at booking, we already know you have landed. Keep your phone on in case we need to reach you, for example if the meeting point needs clarifying, but you do not need to report in.
What if I lose my phone or it has no signal?
Go to the arrivals meeting point for your terminal as planned. Your driver will be there with a name board. If you gave us a travelling companion's number at booking, even better.
My flight was early. Does the driver come early too?
Yes, within reason. Flight tracking works in both directions. If you land forty minutes early, your driver adjusts forward. Very early arrivals in the small hours are covered by the same 24/7 operation.
I forgot to give my flight number when booking. What now?
Send it to us as soon as you can, by phone, WhatsApp or email. Without it we work from your stated pickup time, which means a delay becomes your problem to report instead of ours to track.
